[LSX] Counting Multiple Products That use the Same UPC in an Inventory Count

Natively, Lightspeed X-Series does not allow the same UPC in the barcodes within multiple products.

To allow this, the barcode scanner that you use will need to have the <CR><LF> (Carriage Return) removed from the suffix.  The reason is due to how X-Series will search for the item.

On the Sell Screen, without the Carriage Return, X-Series will search the barcodes and each word within the name of all products.  The search box will then reflect all Products with a match listed in a window and you must select the Product you want to sell from the list.  If there were a Carriage Return, the top product (random) in the list would be selected automatically.

With the Carriage Return in the suffix, the search will only look for exact matches within the barcodes and return a message that the UPC cannot be found.

The Product list screen, however, requires a Carriage Return in order to perform a search.  This search box will search the barcodes and each word within the name of each Product.  The matches will be reflected in the Product List.

In this example we will be using the two products as configured in the article here.

This article will be have three separate sections.

The first section for counting multiple products that use the same UPC in an inventory count in a web browser.

The second section for counting multiple products that use the same UPC in an inventory counts in the LSX POS app.

The third section for counting multiple products that use the same UPC in an inventory count using the Scanner app for LSX.

Please note that you will need to have your barcode scanner programmed accordingly for either a Socket Mobile scanner used with an iPad to use "iOS Application Mode" and also "Data as is" as shown here or to remove all  suffixes (carriage return and line feed) on a barcode scanner used with a workstation.

Counting Multiple Products That use the Same UPC in an Inventory Count in a web Browser

1. Log into your LSX account.
2. In the left hand window pane, click "Inventory".

3. In the window pane to the right, click "Inventory counts".

4. In the main window pane named "Inventory counts", click "Add inventory count".

5. In the main window pane named "Add inventory count", enter the applicable outlet and it will then automatically generate a count name for you.  You can change the count name if you want to.

6. In the main window pane named "Add inventory count" under the section named "Choose products to count", select which type of count you will be performing (either Partial count or Full count).  In this example, we will be choosing "Partial count".

7. Choose if you want in include inactive products or not using the option below.

8. Click in the search bar to put the cursor in it for scanning purposes.

9. First we will scan a UPC for a product that isn't used isn't used in multiple products.
10. Scan the UPC and you will see that the only product that uses that UPC will be shown in the search results but that it isn't automatically added to the inventory count.

11. Click the product in the results window to add it to the inventory count.

12. Now we will scan a UPC that is used with multiple products.
13. With the cursor in the search bar, scan the UPC that is used with multiple products.

14. You will see that two different products that use this UPC have been shown in the search results.  Click the product in the results window that you wish to count in the inventory count. In this example, we are going to select the product named "Miller Lite 4/6 Pack 12 oz 025600088821".

15. You will now see the product that you selected from the search results is added to the inventory count.

16. Add the other products to the partial count that you need.
17. Once you are ready to perform the count, click "Start count" in the upper right hand corner.

18. In the main window for the inventory count, click the product that you wish to enter a count for.

19. In the top section where the product is selected in the "Search products" bar, enter the quantity of the count for the product and then click "Count".

20. You will now see the count for the product entered in the upper right hand corner as shown below.

21. Continue entering the counts for the products and complete the inventory count as you would.

Counting Multiple Products That use the Same UPC in an Inventory Count in the LSX POS app

1. Open the LSX POS app.

2. Log into your LSX account.
3. Select a register.

4. You will be taken to the sell screen as shown below.

5. In the upper left hand corner, tap the icon shown below.

6. In the left hand window pane that appears, tap "Dashboard".

7. In the left hand window pane, tap "Inventory".

8. In the main window pane named "Inventory counts", click "Add inventory count".

9. In the main window pane named "Add inventory count", enter the applicable outlet and it will then automatically generate a count name for you.  You can change the count name if you want to.

10. In the main window pane named "Add inventory count" under the section named "Choose products to count", select which type of count you will be performing (either Partial count or Full count).  In this example, we will be choosing "Partial count".

Counting Multiple Products That use the Same UPC in an Inventory Count in the Scanner app for LSX

Please note that the Scanner app is not able to scan a UPC that is used by multiple products and that you must manually enter the UPC using the virtual keyboard on an iPad.

This will show you what will happen if you scan a UPC that is used by multiple products and how to manually enter the UPC.

1. Open the LSX Scanner app.

2. Tap "Count".

3. Tap "Sign in to Lightspeed Retail" and enter your credentials.

4. Select the outlet that you will be performing the physical count on and then tap "Done".

5. Tap "Count".

6. Tap "+ Create count".

7. Set the settings for the physical count and then tap "Start".

8. Scan the UPC for that is used by multiple products using the built in camera on the iPad.
9. You will receive an audio notification and an error message stating "SKU doesn't match any products in your catalog".

10. Tap in the search bar and start manually typing the UPC that is shared by multiple products and you will see those multiple products show up in the search results.

11. Tap the product that you want to count.

12. Enter the on hand quantity for the product by either tapping the "-" or "+" buttons or tapping the quantity and then manually entering it.

13. Continue entering the counts for the products and complete the inventory count as you would.
