This article will walk you through configuring on account limits for customers in Lightspeed X Series.
To perform these functions, you must be logged in as a user who has the permissions named "Add and edit customer on account limits" and "Add customers in bulk with a CSV import" enabled for the role that you are a member of.
These changes can only be performed via a web browser and not via the Lightspeed X Series app on an iPad.
There are three ways that you can configure this setting and they are listed below.
- Set a Default on Account Limit for all new Customers Created in Lightspeed X Series Going Forward
- Set or Edit a Specific Customer's on Account Limit
- Set or Edit Multiple Customer's on Account Limit via Spreadsheet Import
Setting a Default on Account Limit for All New Customers Created in Lightspeed X Series Going Forward
- Log into Lightspeed X Series in your web browser.
- In the left hand window pane, click "Setup".
- In the sub window pane, click "On account".
- You have three available options to choose from for the default setting.
- No
- Yes, with no balance limit
- Yes, but with a balance limit
- Make your choice and then click "Save changes". In this example, we are choosing to allow an on account balance and have a balance limit of $1,000.
- All new customers created in Lightspeed X Series going forward will be setup with this option.
Set or Edit a Specific Customer's on Account Limit
- Log into Lightspeed X Series in your web browser.
- In the left hand window pane, click "Customers".
- In the main window pane, find the customer that you wish to edit and click the edit icon.
- In the customer window, click the tab named "Details".
- Scroll down until you get to the section named "Allow an on account balance".
- Select the option that you want for this customer and then click "Save changes".
Set or Edit Multiple Customer's on Account Limit via Spreadsheet Import
- Log into Lightspeed X Series in your web browser.
- In the left hand window pane, click "Customers".
- In the main window pane, click "Export list".
- This will download a CSV file to your user's Downloads folder.
- Click the downloaded file to open it.
- Find the column named "on_account_limit".
- Change the value of this field of data for the customer in one of the three ways listed below.
- Enter a number value to set the dollar amount for the customer's on account limit. The number you enter in this field will set an amount in relation to your store currency. For example, if your store currency is pounds, entering "1000" in the spreadsheet will set the customer's on account limit to £1000. If your store currency is USD, entering "1000" will set the limit to $1000 USD.
- Enter a "0" to disable on account for the customer.
- Leave the field blank to allow on account with no limit.
- In this example, we are going to leave the field blank to allow on account with no limit.
- Save the updated file.
- Go back into Lightspeed X Series and go into "Customers".
- In the main window pane, click "Import customers".
- In the main window pane, click "Select a file to upload...".
- Navigate to your user's Downloads folder and select the file that you wish to import and click "Open".
- If the data in the file is good, you will be notified that the file is ready to be uploaded and how many customers will be updated. Click "Continue with import".
- You are notified that the import is being performed and that it may take a little time for it to complete.
- Go back to "Customers" and click the edit button for the customer that was just imported.
- In the customer window, click the tab named "Details".
- Scroll down until you get to the section named "Allow an on account balance".
- You will now see that we changed this option to allow an on account balance with no limit.
- The import was successful and the changes made in the spreadsheet have taken effect.
