Stage 1 | The Basics - Laying the Foundation
Your first steps are outlined below - most importantly, signing up and accessing the Lightspeed Academy to create a foundational knowledge of Lightspeed and familiarize yourself with the look, feel, and terminology.
Below each link is a list of topics covered and links to applicable help articles (and videos) for reference. We recommend you provide instruction for Lightspeed Academy and this training article with your staff / anyone who will be utilizing Lightspeed in these areas or training other team members. Please note any questions that arise to be addressed in your trainings with iPOS. iPOS will "train the trainers".
Step 1: Complete Lightspeed Academy
Lightspeed Academy is Lightspeed’s on-demand training platform with guided courses, videos, and tutorials to help you learn and use Lightspeed effectively. It’s ideal for onboarding new staff, refreshing knowledge, and learning features at your own pace.
- Navigate to Lightspeed Academy and click "Sign In" (top right)
- Create a New Account
Review training videos at your own pace based on role (Admin, Manager, or Cashier)
Provide access to employees as appropriate—progress can be tracked individually if each user has their own account
*Be sure to select the correct product (Retail POS - Lightspeed X-Series) and enroll in the courses that apply to you/your staff.
**The URL and login information for Lightspeed Academy is not the same as accessing LSX itself

If you have purchased iPOS Services to migrate your data, your customers, products, and supplier names will be imported.
It is important to spend time in the system, properly setting up, and customizing for your needs in the following areas and beyond.
1. Settings
- Review, complete, and update.
2. Setting Up Users (Staff Members) + Roles and Permissions
iPOS Support requests user access to client accounts so we can manage and oversee the account, assist with training and setup, and provide support during and after go-live. This access can be revoked at any time. You may grant iPOS blanket permission to access the account, or require iPOS to request permission each time access is needed.

3. Categories and Subcategories (Departments)
- Must be entered exactly as they exist in current POS (can be changed in LS after).
- These must be created in Lightspeed prior to importing items.
- Use this opportunity to clean up any duplicates / variation of spelling or delete those not in use.
4. Adding Supplier (Vendor) Details
When products (items) are imported, the corresponding supplier name is also imported. To add additional information, you will need edit each supplier and manually input desired details.
*If suppliers (vendors) have different spellings / wording, these must be corrected in the current system before export, otherwise, it will not be brought in correctly with the products upon import.

8. Set Up eCommerce
Though Lightspeed X-Series Retail and eCommerce work together seamlessly, launching your eCommerce store is handled separately from your brick-and-mortar implementation.
The good news is that Lightspeed provides excellent, included support for eCommerce—from getting started and setup through training and ongoing support.
Step 3: Testing / Practicing Using Training Mode
Training Mode, when activated, allows you to use LSX without affecting any of your store data. This feature is ideal for learning the basics of selling when first setting up your account, training staff, or testing new features as they are released. All sales data processed in Training Mode is wiped when exiting and will not be recorded in your regular reporting.
Training Mode is only available on Retail POS (desktop) and is not available on iOS.
Note for Admin(s): If you have not set up users (as noted in step 2), your team will not have access to LSX to begin testing. This access is different than the account for Lightspeed Academy.

Requires user to be created first. If needed, you can click "Forgot your password" underneath the login area of your custom URL, enter your email, and follow the password reset instructions that are emailed to you.

The Help Center is a great resource to bookmark for easy access—it includes articles with screenshots and instructions and you can use the chat feature to ask “Speeder” questions for quick answers and links to applicable articles.

To schedule your 1-1 training with iPOS, you must first complete the Lightspeed Academy material/courses. Collect a list of questions or areas of desired training. Feel free to email helpdesk@individualpos.com with a list of questions in advance if you wish! This applies to those who have purchased professional services, including training, from iPOS. You will be able to schedule (1) hour training sessions. These sessions may be pre-paid or billed as needed.
Typically, trainings are broken down into 4 or 5 sessions:
- Overview
- Inventory and Receiving
- Sales, Customers, Reporting
- Post Live Follow Up, Reporting, Q&A
PLUS: Accounting Integration Overview of Mapping (if applicable)
